How do I register a new account?

  1. Click the sign up link above.
  2. From the drop-down menu, select “CSSC Member” or “Non-Member”. 
  3. Create a new account or sign in if you already have one. Remember to complete all registration questions.  Don’t see your sector? Please select ‘Other’.
  4. If you’ve been invited to the challenge via email, make sure you register with the same email address that the invite was sent to.
  5. Agree to the terms and conditions to access the homepage/dashboard.

After registering, log in to the wellbeing portal or app, go to “Challenges” or “Programs & Challenges”, find the Active Wellbeing Challenge, and join it.

Invite friends to download the app 

Click on ‘Social’ at the top, then select ‘Friends’. Choose ‘Add Friends’ or ‘Invite Friends’. You can invite up to 10 friends by entering their email addresses (or search for them if they already have the app). Once they’ve signed up and set up their account, you can add them to your team! 

How do I join or create a team?

When you log in and join the challenge for the first time, the system will prompt you to join or create a team (teams are optional – you can participate solo). 

1. Creating a team (maximum of 10 participants) You can create your own team and invite colleagues or friends by sending invites to their email addresses. When creating a team, choose: 

  • Private: Invite Only – use this option if you want to invite specific colleagues & friends 
  • Public – your team will be visible to everyone on the challenge, and anyone can join from anywhere. If your team is public you wont be able to delete anyone that has joined. 

 

2. Joining/searching for a team Search for existing teams by typing the team name (e.g., your department or a generic one). You can also join open public teams with available spaces. 

3. Inviting friends who have downloaded the CSSC life app already   

Type a friends name and if they have downloaded the app you will be able to find them here. If they haven’t already downloaded the app already, please follow the steps below.  

4. Inviting friends who haven’t downloaded CSSC life app To invite friends or colleagues, go to the Social tab and select Friends. Choose Invite Friends/Peers, then enter up to 25 email addresses. They’ll receive an invitation to join the platform – and once they’re in, they can join the Active Wellbeing 2026 challenge and your team! 

Important: You can switch or join/leave teams until early February (around 3rd February). After this deadline, leaving a team will remove you from the challenge with no option to re-join. 

How do I accept a team invite?

If a colleague has invited you to their team: 

  1. Check your email (including junk/spam folder) for the invitation link. 
  2. Click the link and register (or log in) using the same email address the invite was sent to. 
  3. Verify your email if required. The team invite will appear on your profile/dashboard – click “Accept” to join. If you don’t see the accept button, search for the team name manually and request to join (for public teams) or check with the captain. 

How do I add my activity?

You can sync your activity automatically from a device/app or add it manually. 

1. Syncing your activity (recommended for easiest tracking) Connect your device for automatic step/distance syncing. Supported devices/apps include Fitbit, Garmin Connect, Apple Health (iOS), Google Fit (Android), and many others (full list available in the portal under “Devices and Apps”). 

  • On the website: Go to your dashboard > My Account > Settings > Connected Apps/Devices. 
  • On the app: Open the menu > Sync Devices > Connect your chosen service. 

Sync your device/app first, then refresh the dashboard if needed.

Adding activity manually : (Browser & App)

  • Click on ‘Resources’ (Found on the challenge page) > Select Track Activity > Add Activity > Browse Activity > Select your activity> Enter your activity time > Select Add Activity
  • The conversion to steps is done automatically.
  • Maximum 30,000 steps per day. Log in or sync at least every 14 days to stay active in the challenge.

How is my data handled?

Q         Do UK/EU data protection laws still apply?

A             Yes. Because you are based in the UK, your data is protected by UK data protection law (UK GDPR and the Data Protection Act 2018), even if it is processed in the United States.

Personify Health and your programme sponsor (CSSC / your Civil Service organisation) must still comply with UK/EU-style data protection rules. This means, for example, you keep the rights to:

  • access your data;
  • ask for corrections;
  • in some cases, ask for deletion or restriction;
  • object to certain types of processing; and
  • complain to the ICO (the UK data protection regulator) if you’re unhappy.

The wording about processing “under U.S. laws and international privacy standards” does not remove your UK rights. It reflects that Personify Health also has to comply with US law because parts of the service and infrastructure are operated from the US, and that they use recognised international transfer mechanisms to protect your data.

Personify Health’s privacy notices explain that for UK/EU data they use safeguards such as:

  • EU/UK-approved Standard Contractual Clauses (SCCs)with programme sponsors and subcontractors; and
  • participation in recognised international privacy frameworks (referred to as a “Data Privacy Framework”) for transfers from the UK/EU to the US.

Q         What data is processed in the U.S?

A             The types of data typically handled as part of the Personify Health wellbeing programme include:

  • Basic account and identification details
    g. name, email address, date of birth or year of birth, and an ID number from the eligibility file provided by CSSC / your employer so your account can be set up.
  • Account and usage information
    g. username, password (stored in encrypted form), language and communication preferences, login dates/times, app and website usage for security and service performance.
  • Wellbeing and activity data you choose to provide
    g. steps, activity minutes, participation in challenges, points earned, completion of wellbeing content or challenges, and any optional self‑reported wellbeing information you enter.
  • Technical and security information
    g. IP address, device identifiers, and log files used to keep the service secure and running.

Personify Health does not hold your full medical records or access your NHS or occupational health files. The data involved is limited to what is needed to run a lifestyle and wellbeing programme.

For reporting back to your organisation, Personify Health’s standard approach is to provide aggregate and de‑identified statistics (for example, participation rates or average step counts across groups) rather than individual‑level wellbeing data. Your identifiable account data is used to deliver the service to you, not for your line manager or employer to monitor you individually.

Q         Why is data transferred outside the UK/EU at all?

A             Personify Health is a global platform, headquartered in the US. The core systems, technical teams and many of the services that make the app and website work are based there. To:

  • host your account;
  • store and update your points, challenges and activity;
  • provide technical support and security monitoring;

they use centralised infrastructure that is largely operated from the US. That is why some data processing happens in the US.

Their privacy notices explain that:

  • They use EU/UK Standard Contractual Clauses with UK/EU programme sponsors who send them eligibility data and with any subcontractors who help process that data.
  • In some cases, eligibility files can be stored in EU data centres (AWS) if the programme sponsor chooses this option, but there may still be secure access from the US to operate the service, which is why it is still described as a transfer.

Putting it simply: the data transfer is mainly about where the technical platform is run from. The transfer itself is regulated under UK GDPR, and Personify Health is required to keep your data secure and to give you the same core data‑protection rights you would expect for any UK‑based service.
